HELP! Confusion about Events

So I've been planning for months on running a meetup/photoshoot for Steven Universe at con this year. I originally tried submitting an official event, but I was never contacted back by staff after it was agreed that they would try to get my event on the schedule. There was never a specific time or place agreed upon, just that it should be sometime Saturday afternoon/evening. I did end up submitting an unofficial event instead because of this, but now there's an official event for it within an hour of my unofficial event. My question is: for anyone who has submitted a MEETUP event before, have you been contacted about specific times/places for your events and that it was added to the events list, or not? I'm super paranoid about this, and I've been completely on top of this until I saw the official schedule. I have no problem with rescheduling my unofficial event (which I've already started to do), but my main concern is whether I'm running the official event or not. My main reason for this is because as lovely as AMW seems, they haven't been running for very long and they seem like they might need more staff to help them, and I've never run an event before at a con. I'm not sure how they run things here and I'm just worried about keeping everything running smoothly. Thanks for any help, it's greatly appreciated!
